These Terms and Conditions have a binding effect for all participants of the 2nd Worldwide Summit of Presidents of Travel Agencies Associations (hereinafter the 2nd Summit) taking place in Zagreb, Croatia from November 6 to 8, 2014 organized by Croatian Association of Travel Agencies (UHPA) in co-operation with the Spanish Confederation of Travel Agencies (CEAV).
Conference venue: Hotel Sheraton Zagreb (5*), Kneza Borne 2, 10000 Zagreb, Croatia.
Language: The official language of the 2nd Summit is English. No simultaneous translation will be provided.
Registration: Registration for the 2nd Summit should be made by sending the filled Delegate Registration Form published at UHPA website to the UHPA conference administrator e-mail: email@example.com by 15th September 2014. By sending the Delegate Registration Form and proceeding with the payment of the related registration fee(s), every participant shall be considered bound by these Terms and Conditions. Once the payment is received, the registration will be confirmed. UHPA reserves the right to refuse, deny or cancel registration without assigning any reasons.
Registration for the 2nd Summit will be closed on the 15th October 2014.

Summit attendee/delegate: 250,00 EUR (1875,00 Croatian Kunas) per person (VAT 25% included)
Registration fee includes: Registration fee for the 2nd Summit as summit attendee, congress material, and VAT 25%. Coffee breaks, welcome cocktail, lunches and dinners and programmed social activities are sponsored by Summit sponosors.
Accompanying person (spouse/family member): 200,00 EUR (or 1500,00 Croatian Kunas) per person (VAT 25% included)
Registration fee includes: Registration fee for the 2nd Summit as accompanying person and VAT 25%. Programmed social activities and special guest program are sponsored by Summit sponosors.
Note: Registration fee does not include accommodation and travel arrangement.
Method of Payment of registration fees: Payment of Registration fee should be done by wire (bank) based on the proforma invoice which will be sent to participant by UHPA administrator. The participants disposing of a bank account in Croatian Kunas shall make payment in Croatian Kunas, and others shall make it in EUR.
The payer shall ensure that the invoice number referred to in the bank transfer documentation. The total amount of Registration fee shall be paid within 7 days from the date of the proforma invoice. Bank transfer and other fees and costs related to the wire transfer shall be covered by a payer. Cheques and credit cards are not accepted. Rates in EURO will be charged in the invoices in Croatian kuna according to the Croatian National Bank official exchange rate at the day of invoicing. VAT: As stated in the article 53 of Directive 2006/112/EC, registration fee is subject to VAT applicable in the country where the event is taking place, even when supplied to taxable persons. Therefore the VAT charge is applicable to all participants of the Summit. According to Croatia's tax regulations a 25% VAT charge will be applied to the registration fees. Organizer reserves the right to amend this charge should the VAT rule (rate) change. Please contact your country's tax advisor for assistance in claiming your refund. Confirmation of participation: Once the payment of registration fee has been received, UHPA will send you a letter of confirmation/payment receipt.
Accommodation: Participant shall organize his/hers accommodation himself/herself and bear all the expenses connected with it. UHPA has agreed special accommodation rates at Hotel Sheraton Zagreb (5*) for participants of the 2nd Summit. The special accommodation rates are of 800,00 kn (105,00 EUR) for 'double single use' room/per night and 930,00 kn (122,00 EUR) for double room/per night. The room price includes: buffet breakfast, free entrance to hotel swimming pool, sauna & Fitness Centre, Wi-Fi, and VAT. City tax of 7,00 kn (0,93 EUR) per person/per day is not included.
Surcharge for shared accommodation in double room: 130,00 kn (17,00 EUR) per person/per night. These rates are valid from November 2nd to November 13th 2014. Accommodation bookings shell be governed by the general terms and conditions of the accommodation venue-Hotel Sheraton Zagreb. The room bookings have to be made on-line by November 3rd 2014 at latest via the link that will be posted on UHPA website www.uhpa.hr.
Transportation/Travel arrangement: Participant shall organize his/hers travel arrangement himself/herself and bear all the expenses connected with it. Information about applicable discounts for transportation to/from Zagreb will be posted at UHPA website www.uhpa.hr.
Name change: UHPA will accept a substitute colleague at any time, if for some reason a registered delegate is unable to participate at the 2nd Summit. Only written requests by e-mail or fax will be accepted, clearly indicating the name of the cancelled delegate as well as the name, position and contact details of the substitute.
Travel insurance: UHPA strongly advise all delegates to procure their own personal and travel insurance.
Visa requirements: It is the sole responsibility of the participant to obtain any appropriate visa/s that may be required for certain countries.
Visit or contact the nearest Croatian Embassy or Consulate to learn what you must do in order to get appropriate visa. No visa or travel assistance will be provided to accompanying person (spouse/family members) of the delegates.
You may be required to present a letter of invitation to attain a visa. If you need a letter of invitation for visa purposes, please contact Ms. Neda Lusic at email@example.com.
Cancellation of Registration: If cancellation is received in writing by UHPA conference administrator by the 24th of October 2014 at 15:00 p.m., fees will be refunded in the amount equal to 50 percent of the relevant participation fee. No refunds shall be made after this date.
Changes of the 2nd Summit Program: UHPA reserves the right to change or make amendments to the program or/and activities at its sole discretion. In such case, a refund or a reduction of registration fee amount will not be applied.
Event cancellation: UHPA reserves the right to cancel event at any time and at its sole discretion. In the event of such cancellation, UHPA will refund any registration fees paid, direct to the delegate, upon proof of purchase, and this refund shall be the full extent of UHPA’s liability to the participant arising of such cancellation. In the event of cancellation, UHPA will use reasonable endeavours to alert those who have booked to attend event or purchased tickets, and details of any cancellation will be posted on the UHPA website www.uhpa.hr. Participants are responsible for checking this information prior to the event.
